📊 ITR Tracker Google Sheet – User Manual

📝 Overview

This tool is designed to help Chartered Accountants efficiently manage and track ITR filings across multiple clients and staff members. The system offers:

  • Automated calculations

  • Real-time dashboard updates

These features will streamline your practice management and provide an efficient way to stay on top of client filings.


📋 Sheet Structure

1. ITR Tracker Sheet (Master Sheet)

This is the primary worksheet where all client information is maintained and updated. The sheet consists of the following columns:

Column Name Description
S.N. Serial number for easy reference
CLIENT NAME Full name of the client
MOBILE NO. Contact number
TYPE Category of ITR filing (e.g., ITR 1, ITR 2, etc.)
ASSIGNED TO Staff member responsible for the case
DATE ASSIGNED Date when the case was assigned
STATUS Current status (ASSIGNED TO, FILED, HOLD, PENDING)
DATE COMPLETED Auto-updates when the status is changed to FILED
DAYS TAKEN Auto-calculated duration between assignment and completion
DOCS REQUIRED / RECEIVED / PENDING Document tracking status
REMARKS Additional notes or comments

2. Dashboard Sheet (Analytics & Summary)

This sheet provides an automated summary of performance and workload distribution among staff members. It displays the following information:

Column Name Description
STAFF Staff member names
ASSIGNED TO Total cases assigned to each staff member
FILED Number of completed filings
PENDING Cases still in progress
HOLD Cases temporarily on hold
TOTAL DAYS TAKEN Cumulative days for all FILED cases
AVERAGE DAYS TAKEN Average completion time for FILED cases

🛠️ Data Entry Instructions

🔑 Adding New Clients

To add new clients, follow these steps:

  1. Navigate to the ITR Tracker Sheet.

  2. Enter the client details row by row in the following sequence:

    • Serial number

    • Client name

    • Mobile number

    • ITR type

    • Continue with the remaining fields as applicable (assigned staff, status, etc.).


💼 Assigning Cases to Staff

To assign a case to a staff member:

  1. In the ASSIGNED TO column, enter the staff member’s name in CAPITAL LETTERS.

  2. Select “ASSIGNED TO” from the STATUS dropdown menu.

  3. Enter the current date in the DATE ASSIGNED field.

  4. Add any relevant information in the REMARKS section.


✅ Completing Cases

When a case is finished:

  1. Change the STATUS to “FILED”.

  2. The system will automatically:

    • Populate DATE COMPLETED with today’s date.

    • Calculate and display DAYS TAKEN (the time between assignment and completion).

    • Update the Dashboard Sheet with new statistics.


⚙️ Status Management

Important Notes:

  • If you change a “FILED” status back to “HOLD” or “PENDING”:

    • The DATE COMPLETED field will be automatically cleared.

    • The DAYS TAKEN calculation will be reset.

    • The Dashboard statistics will be updated accordingly.

This system ensures that all statistics are kept up to date and reflects the most accurate status of each case.


📈 Dashboard Updates

  • As statuses are updated in the ITR Tracker Sheet, the Dashboard Sheet will automatically update the staff workload and case progress.

  • The DAYS TAKEN for FILED cases are automatically calculated and displayed in both the ITR Tracker Sheet and Dashboard Sheet.


This ITR Tracker Google Sheet system makes it easy to stay on top of ITR filings, providing clear insights into workload, case status, and staff performance with just a few simple steps.
